Project Overview: Our customer is a U.S.-based company that provides custom apparel and gear solutions, mainly for sports teams, schools, and organizations. It allows groups to create their own online stores where members can order personalized clothing with logos, names, and branding. It handles production, payments, and direct shipping to individuals, so organizations don't have to manage inventory or bulk orders.Position Overview: The Backup Support Specialist is a versatile, cross-functional role designed to provide coverage for the Inside Sales, Onboarding, and Data Entry teams during periods of high volume or when full-time agents are out of office. This person will be trained across all three functions and will step in as needed to ensure seamless customer experience, timely order handling, and accurate backend operations. The ideal candidate is highly organized, detail-oriented, tech-savvy, and comfortable juggling multiple workflows in a fast-paced environment.Key responsibilities:
  • Manage incoming leads via chat/calls, qualify customers, and support quoting process;
  • Coordinate quotes, orders, and workflows ensuring timely execution
  • Guide customers through full journey from quote to order completion
  • Collaborate with Design team on mockups, approvals, and product setup
  • Maintain documentation, payments, and CRM data (HubSpot, PandaDocs, NetSuite)
  • Support onboarding by assisting customers with platform setup and store launches
  • Manage multiple onboarding cases, chats, and customer requests simultaneously
  • Build, upload, and optimize online stores and product listings
  • Configure products, enter accurate data (SKUs, pricing, customization), and QA setups
  • Process orders and support cross-functional teams with operational tasks
Requirements:
  • Strong multitasking and prioritization skills
  • Ability to learn and switch between multiple internal systems quickly (HubSpot, NetSuite, PandaDocs, proprietary tools).
  • High attention to detail and accuracy in data entry and documentation.
  • Excellent written communication skills
  • English B2 (required)/ C1(preferred)
  • 1+ years of experience in the Customer Service-related industry
  • Fast learner with strong adaptability to process changes.
  • Customer-focused mindset with proactive problem-solving.
