- Coordinate day-to-day operations across multiple projects, ensuring alignment with timelines, deliverables, and organizational objectives.
- Track project progress, monitor milestones, and support implementation in line with contractual requirements.
- Assist Project Managers in planning, execution, and reporting of operational activities.
- Maintain project trackers, schedules, and internal coordination tools.
- Support end-to-end procurement processes, including preparation of RFIs, RFQs, and tender documentation.
- Conduct vendor sourcing and market research across international suppliers (EU, US, Asia).
- Coordinate bid submissions, including compliance documentation and commercial proposals.
- Participate in evaluation and clarification processes with suppliers and partners.
- Build and maintain relationships with vendors, subcontractors, and international partners.
- Negotiate commercial terms, including pricing, delivery timelines, Incoterms, and payment structures.
- Coordinate with manufacturers and suppliers to ensure technical and contractual compliance.
- Monitor operational expenses and support budget tracking.
- Coordinate payments with finance teams and track vendor settlements.
- Prepare operational and financial reports for internal and external stakeholders.
- Act as a key point of contact between internal teams, subcontractors, clients, and donors.
- Facilitate communication and ensure alignment across multiple stakeholders.
- Support preparation of presentations, reports, and official correspondence.
- Support recruitment processes, including candidate sourcing, screening coordination, and interview scheduling.
- Assist with onboarding and operational setup for new hires.
- Bachelor's degree in relevant field, such as international relations/development, social science, business administration, or global health;
- At least 3 years of relevant work experience supporting project-based operational functions, with at least 1 of experience managing a team, preferably within the international development context in Ukraine;
- Prior experience managing office operations, procurement, and logistics with staff supervision responsibilities;
- Familiarity with local Ukrainian operational best practices, and U.S. Government funded regulations for assistance awards;
- Detail-oriented with excellent organizational and prioritization skills;
- Ability to set clear goals and manage progress toward them;
- Strong administrative, organizational, and written and verbal communication skills;
- Excellent computer skills with proficiency in Microsoft Office and Outlook, and knowledge management platforms such as Dropbox or Box; and
- Written and spoken fluency in Ukrainian and English.
