We are looking for a Family/Personal Assistant to support private employers based in the United States with an active lifestyle and frequent international travel. The role can be performed remotely from Ukraine or EU, taking into account the time difference (working hours will often fall in the late afternoon and evening Kyiv time).Key ResponsibilitiesAdministrative and Business Support:
  • Manage calendars, organize meetings and calls, and provide reminders about deadlines.
  • Prepare presentations, reports, and supporting documents for business meetings.
  • Handle business correspondence in Ukrainian and English.
  • Organize business trips: booking flights and accommodation, arranging travel itineraries.
  • Support visa and consular procedures: preparing and filling out applications, communicating with embassies.
  • Provide administrative support for business matters in both Ukraine and the U.S.: coordinating with publishers, assisting with start-up projects, recruiting staff.
  • Monitor task execution and internal business processes; maintain documentation and confidential records.
  • Conduct research on request: e.g., analysis of U.S. summer camps, service providers, and market opportunities.
Personal Support:
  • Manage personal calendars (doctor's appointments, service visits, events).
  • Coordinate household matters: sourcing and booking service providers, repairs, deliveries, and purchases.
  • Arrange restaurant reservations, tickets, hotels, and family trips.
  • Prepare and process personal documents and certificates.
  • Purchase goods and gifts; organize courier deliveries.
  • Manage reminders and personal to-do lists (payments, schedules, important dates).
  • Ensure confidentiality and handle entrusted personal tasks.
Candidate Requirements
  • Fluency in Ukrainian, Russian, and English (both spoken and written, professional level).
  • Previous experience as a personal assistant, administrative specialist, or in a similar role will be an advantage.
  • Strong organizational skills, attention to detail, and the ability to handle confidential information.
  • Excellent planning, time management, and multitasking abilities.
  • Ability to quickly search, analyze, and verify the accuracy of information.
  • Proficiency in modern digital tools and platforms (Google Docs, Google Sheets, Excel, etc.).
  • High level of responsibility, flexibility in decision-making, and adaptability to change.
  • Adherence to professional business communication etiquette and ability to liaise effectively with different stakeholders.
