- Manage the representative mailbox.
- Carry out general administrative tasks (filing, archiving, scanning, copying).
- Draft letters and documents; ensure correct lay-out of documents and presentations.
- Support agenda management.
- Organise internal and external meetings (booking venues, sending invitations, preparing materials and equipment).
- Disseminate meeting minutes and documents to stakeholders.
- Proactively collect documentation.
- Provide administrative support for SharePoint.
- Ensure availability and control of office supplies; manage stock.
- Conduct small purchases for supplies and licenses.
- Prepare purchase requests in the ERP system, respecting Enabel's thresholds.
- Elaborate mission orders and manage communication with travel agencies (hotels, flights, transfers, restaurants).
- Supervise car maintenance and washing.
- Drive the programme car when required.
- Welcome and orient visitors.
- Update the internal and external professional contacts list.
- Support with coffee, tea, and refreshments for meetings and events.
- Proven experience in administrative, organisational, or logistical support.
- Strong communication and interpersonal skills.
- Proficiency in MS Office and ability to work with digital tools (SharePoint, ERP).
- Good command of Ukrainian and English.
- Driver's license (B category) required.
- Ability to multitask, prioritise, and work proactively.
