- Provide day-to-day administrative and organizational support to senior management.
- Manage calendars, schedule meetings, and coordinate internal and external communications.
- Organize business travel, including logistics, bookings, and itinerary planning.
- Act as a central coordination point between departments (engineering, HR, procurement, legal, finance).
- Maintain and manage office operations, including supplies, vendors, and facilities.
- Support onboarding and offboarding processes, including coordination of equipment, access, and documentation.
- Prepare reports, presentations, and internal documentation in English and Ukrainian.
- Ensure proper document management and organization (contracts, internal files, shared drives).
- Track tasks and follow up on deadlines across teams (e.g., via Slack, Monday.com, or similar tools).
- Assist with HR-related coordination: interview scheduling, communication with candidates, documentation.
- Support leadership with ad hoc operational and administrative tasks.
- Maintain confidentiality and handle sensitive information in compliance with NDA requirements.
- Minimum 2-4 years of experience in a Business Assistant, Office Manager, or similar administrative role.
- Strong organizational and multitasking skills with high attention to detail.
- Professional working proficiency in English (written and verbal) - mandatory.
- Fluency in Ukrainian.
- Experience supporting senior management or working in a fast-paced environment.
- Proficiency with office tools: Google Workspace, Microsoft Office, Slack, task management systems.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with discretion and professionalism.
- Problem-solving mindset and proactive approach to tasks.
