- Process recruitment requests and prepare job descriptions.
- Create, get approval, post vacancy announcements on job boards, social media, and community platforms.
- Prescreen, longlisting/shortlisting of CV's.
- Organize interviews and participate in interview panels.
- Maintain clear communication with candidates throughout all stages of the selection process.
- Develop and maintain a recruiting tracker to monitor progress.
- Contribute to the development of a positive employer brand.
- Participation in organizing and preparing document flow of regular international training programs for trainees/candidates for the dog handler role (Ukraine/Cambodia).
- Ensure all paperwork for internal business trips follows donor and local law requirements.
- Coordination payment of per diem.
- Develop and maintain business trips tracker.
- Maintain the expat permit/visa/travel tracker.
- Ensure the employment procedure is in compliance with APOPO policies and the Ukrainian Labor Code.
- Ensure all relevant HR/Admin data is copied, scanned and downloaded into the relevant folders in SharePoint and maintain a confidentiality and no-access policy.
- Advise and consult with the Senior Management Team on local HR topics, such as: staff reduction, essential changes in working conditions, terminations, social benefits, etc.
- Serve as a trusted point of contact for employee questions regarding HR policies and procedures.
- Perform role of HR User in ERP System (ODOO), including hiring, termination and extension of employees' contracts, checking leave requests and approvals, benefits and compensation.
- Helping with tracking annual/social leaves. Prepare and collect orders and applications for annual/social leaves.
- Collect, check, combine and store Timesheets into Sharepoint.
- Establish communication and procurement of services.
- Submit CompBen requests to HRIS.
- Assist management and employees in Human Resources related issues.
- Assist in inducting training on Code of Conduct, Confidentiality, Conflict of Interest, etc. as needed.
- Assist or drive people well-being initiatives.
- Fluent Ukrainian and English verbal and written communication skills.
- Bachelor's degree in human resources, Business Administration, Management, or a related field.
- Previous experience of 2 years in HR and administrative roles. Possession of relevant HR certifications such as SHRM-CP, SHRM-SCP, PHR, or SPHR may be advantageous.
- Knowledge of labour laws, regulations, and compliance requirements. Experience in ensuring HR practices align with legal standards.
- Solid understanding of human resources principles, practices, and employment laws.
- Strong organizational and administrative skills.
- Proficiency in office management tasks, including record-keeping and scheduling.
- Problem-Solving and Decision-Making skills.
- Ability to build positive relationships with employees and stakeholders.
- Skill in conflict resolution and handling employee relations issues.
- High level of accuracy and attention to detail in handling employee records and administrative tasks.
- Proficiency in using MS Office applications and ability to adapt to new technologies and software.
- Adherence to high ethical standards and confidentiality in handling sensitive HR information.
- Ability to work collaboratively with others and contribute to a positive workplace culture.
- Flexibility and Adaptability to changing priorities and a dynamic work environment.
