- Coordinate all logistics for conferences, partner events, online events, and internal initiatives.
- Book flights, hotels, transfers, and restaurants; prepare travel itineraries and event schedules.
- Register team members for conferences and webinars; maintain accurate attendee lists.
- Keep team calendars updated with all relevant bookings, agendas, and deadlines.
- Perform ongoing research on upcoming events, vendors, venues, and service providers.
- Compare quotes, gather vendor information, and prepare structured decision tables.
- Support data entry tasks (e.g., exporting leads from events, cleaning data, updating Excel sheets).
- Organize and maintain event documentation, invoices, contracts, and shared folders.
- Assist with operational tasks related to partner gifts, hospitality, merch, and ad-hoc requests.
- Collaborate closely with Marketing, Sales, HR, and C-level to ensure smooth event execution.
- Contribute to improving processes, ensuring accuracy, speed, and high-quality delivery.
- Strong English skills (B2-C1), both written and spoken - daily communication with international teams.
- Excellent organization and time-management skills; ability to handle multiple tasks simultaneously.
- Confident with Excel/Google Sheets - comfortable with tables, comparisons, and structured data.
- Strong research and analytical thinking - ability to find information, compare options, and draw basic conclusions.
- Experience in one of the following:
- event logistics or coordination
- booking travel (flights, hotels, transfers)
- administrative or assistant roles
- Ability to work reliably under deadlines and maintain attention to detail across repetitive tasks.
- High sense of responsibility and ownership - tasks delivered on time, without reminders.
- Comfortable working in a fast-paced, dynamic environment.
- Experience with event platforms (Luma, Livestorm, Zoom Webinars).
- Familiarity with email marketing tools (MoEngage, GetResponse, etc.).
- Basic knowledge of budgets, invoices, and expense tracking.
- Experience working with vendors (print, design, stand builders).
- Understanding of marketing or sales processes.
- Prior use of tools like Jira or Monday.com.
- Additional languages (Russian/Spanish/Portuguese) are a plus, not required.
